Vacancy: Scanning and Medical Reports Administrator

Job Summary
The post holder will be responsible for undertaking a range of administrative duties to support the multidisciplinary team. Duties can include but are not limited to, scanning all clinical correspondences, data entry, administration of Subject Access Requests (SAR’s) and other requests for medical reports and information in a timely manner. The post holder must work as part of a team, have the ability to organise and prioritise their own workload on a day to day basis.
Main Responsibilities:
Scanning / Data Entry Administration
To ensure that all clinical correspondence is scanned accurately and promptly. To enter clinical data into the practice clinical computer system (EMIS) as directed. To cover additional hours for staff absences. To undertake or assist with any ad-hoc administrative duties.
- Collect post from administration and reception
- Scan clinical correspondence into EMIS
- Distribute and scan Electronic Discharge Notifications (EDN’s) as required
- Check for emergency care plan patients to make doctors aware
- Enter test results into EMIS, as directed by doctors
- Enter clinical data into EMIS as directed / required
- Resolve any queries and problems concerning scanned correspondence
- Liaise with IT Helpdesk to resolve any technical problems relating to scanning
- Cover additional hours in scanning to cover for staff absences
- Attend and contribute to meetings, eg Workflow / Staff
- Undertake or assist with any ad-hoc administrative duties/projects
Medical Reports Administration
To ensure all requests for Subject Access Requests (SAR’s) and other requests for medical reports and information are processed accurately and promptly.
- Process requests for information i.e. SAR’s, insurance / solicitors letters and DVLA forms

- Deal with telephone enquiries from patients and insurance companies with discretion and confidentiality
- Liaise with various companies and health authorities regarding queries and financial matters
- Keep accurate financial records
- Liaise with management regarding fees
- Contribute to keeping patient information up to date including web site
- Adhere to strict guidelines for General Data Protection Regulations (GDPR)

- In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately
- In the performance of the duties outlined in this job description, the post-holder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential
- Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data
Health & Safety
The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the practice health & safety policy, the practice health & safety manual, and the practice infection control policy and published procedures. This will include:
- Using personal security systems within the workplace according to practice guidelines
- Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
- Making effective use of training to update knowledge and skills
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way, free from hazards
- Actively reporting health and safety hazards and infection hazards immediately when recognised
- Keeping own work areas and general/patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holder’s role
- Undertaking periodic infection control training (minimum annually)

These duties may be changed from time to time, dependent on the needs of the practice. This will be done in consultation with the employee and, if appropriate, training and instruction will be given.
